Creating an email group in Outlook is a simple way to send the same email to several people without adding each address every time. Just follow the steps below to set it up correctly.
Open Outlook and click the People icon from the navigation pane or sidebar.
Click New Contact Group in classic Outlook, or New contact list in new Outlook or Outlook on the web.
Enter a clear name for your group so you can find it quickly later.
Click Add Members and choose people from your contacts, address book, or add new email addresses manually.
Save the group after adding everyone you need.
Open a new email and type the group name in the To field. Outlook will automatically add all the members.
If you are sending an email to a large group, use the Bcc field to keep everyone’s email address private.
If the group does not appear while typing, check that you are using the same Outlook account where you created it.
To edit or remove members later, open the group from People, make the changes, and save it again.
If you need a company-wide mailing list that everyone can use, ask your Microsoft 365 administrator to create a distribution group instead of using a personal contact group.
